The Muse Rooms was started in 2018 to inspire anyone who has their own business or aspiring career. The Muse Rooms has two locations in Los Angeles in Southern California. The Space was created to inspire entrepreneurs while creating a non-corporate vibe.
The Objective
Running multiple locations, the muse rooms needed an efficient to manage tours. Having limited staffing, the muse room needed automation to pick up the slack. Our focus was automation combined with creating a personalized experience.
Every email that went out had a goal of building the relationship. Additionally, we wanted to simplify the prospecting process for the owner. The owner needed to know who were the most engaged contacts coming through the door.
1.Our initial plan started with the customer journey mapping process. We wanted to know where customers should go throughout their journey. Our team mapped out step by step what needed to happen when a prospect booked an appointment. Next, we defined what it meant to be an engaged prospect versus not. Next, we picked the CRM that would give the automation power we needed. ActiveCampaign has the power to automate with the flexibility to integrate with dozens of apps. Once we set up the CRM, we used the client’s website to create branded templates.
2. Then we built out the automation based on the customer journey map. We used Calendly for tour bookings and integrated it with Activecampaign. The automation’s included built included a welcome and re-engagement series. After the initial setup, we focused on the follow-up strategy. For anyone that was engaged but didn’t sign up, we had a follow-up series.
These contacts were sent straight to the owner by email as high potential leads. We made it easy for her to prospect. Instead of sifting through all the contacts, she could start with the most promising group.
Campaign Results
Prior to working with Entreprov, The Muse Rooms had no current automation for the follow-up. As a result of our partnership, we were able to re-engage 59% of lost leads. The average open rate for email campaigns was 45%. We save the client on average 5 hours a week by automating the follow-up process. With our process, the client could spend more time on the high-quality prospects.
Everything was manual and there was no mapped out follow-up process for leads. This meant they followed up with contacts when they had time. Some contacts slipped through the cracks because of the old process. Working with Entreprov, we were able to change these processes to save dozens of hours a week. This lead to more booked tours, and better closing rates due to consistent follow-up.
